1. Who We Are

OpsHound is a product of Kixo Limited trading as OpsHound, a company registered in Ireland. We provide a SaaS platform that enables businesses to automate browser-based workflows using AI.

2. What Data We Collect

Account data

When you sign up, we collect your name and email address for authentication and account management.

Payment data

When you subscribe, payment details are collected and processed by Stripe. OpsHound does not store your card details directly.

Usage and activity data

We collect data about how you use the platform — including agents created, runs triggered, schedules set, and feature usage. This helps us operate and improve the service.

Uploaded files and CSVs

Files you upload to run batch processes are stored temporarily and used solely to execute your automation tasks. These are stored in your account's private storage and are not accessed by OpsHound staff except where required to resolve a support issue with your consent.

Browser session recordings

When you record a workflow, we capture browser events and interactions to generate your automation script. These recordings are stored securely and associated with your account. They are not used for any purpose other than generating and maintaining your automation scripts.

Data exports and outputs

Files generated by your automation runs — such as results CSVs — are stored in your private account storage and accessible only to your organisation.

3. How We Use Your Data

We use your data to:

  • Provide, operate, and maintain the OpsHound platform
  • Authenticate your account and manage access
  • Generate and execute automation scripts on your behalf
  • Process payments and manage your subscription
  • Send transactional emails (account, run alerts, billing)
  • Monitor platform performance and fix issues
  • Improve the product based on aggregated usage patterns

We do not sell your data. We do not use your data to train AI models.

4. Our Legal Basis for Processing (GDPR)

For users in the EU, UK, and other regions with similar frameworks, our legal basis for processing your data is:

  • Contract — processing necessary to deliver the service you've signed up for
  • Legitimate interests — platform security, fraud prevention, product improvement
  • Legal obligation — where we are required to retain records (e.g. billing)
  • Consent — for any marketing communications (you can withdraw at any time)

5. Third-Party Services

To deliver OpsHound, we use the following third-party providers. Each acts as a data processor on our behalf and is bound by appropriate data processing agreements:

Where providers are based outside the EU, transfers are covered by Standard Contractual Clauses (SCCs) or equivalent safeguards.

6. Data Retention

  • Account data: retained for the duration of your account plus 90 days after deletion
  • Browser session recordings: not captured or retained
  • Run outputs and uploaded files: retained for 90 days
  • Payment records: retained for 7 years as required by Irish tax law
  • Usage data: retained in aggregated, anonymised form indefinitely

7. Your Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Delete your data (right to erasure)
  • Restrict or object to certain processing
  • Data portability — receive your data in a machine-readable format
  • Withdraw consent at any time where consent is the basis for processing

To exercise any of these rights, contact us at privacy@opshound.ai. We will respond within 30 days.

If you are based in the EU and are unsatisfied with our response, you have the right to lodge a complaint with the Irish Data Protection Commission.

8. Cookies

OpsHound uses only essential cookies required for authentication and secure session management. These cookies are necessary for the platform to function and cannot be disabled.

For website analytics, we use Cloudflare Web Analytics. This service collects anonymous, aggregated data about site visits including page views, traffic sources, and approximate location at country level. Cloudflare Web Analytics is cookieless and does not track individual users or collect personal data. No consent is required for this tool.

We also use Google Search Console to monitor how OpsHound appears in Google search results. This tool does not set cookies on your device and does not collect personal data from visitors.

We do not use advertising or behavioural tracking cookies. No third-party advertising cookies are set by OpsHound.

If this changes in future, we will update this policy and where required by law ask for your consent before setting any non-essential cookies.

9. Security

We take reasonable technical and organisational measures to protect your data, including encrypted storage, private access-controlled file buckets, and role-based access controls. No system is 100% secure — if you believe your account has been compromised, contact us immediately.

10. Children

OpsHound is not intended for use by anyone under the age of 18. We do not knowingly collect data from minors.

11. Changes to This Policy

We may update this policy from time to time. We will notify you of significant changes by email or via an in-app notice. The date at the top of this page always reflects the most recent version.
